What is a meeting poll?
A meeting poll is a shared availability grid where every member of a group marks the times they're free, and the group then picks the slot that works for the most people. Instead of bouncing emails or chat messages back and forth, everyone fills in one grid — and the answer becomes obvious at a glance.
How a meeting poll works
The host creates a poll with a set of candidate dates and a window of possible start times — say, 9am to 6pm across the next two weeks. The host shares a link with the group. Each participant opens the link, types their name, and taps every time slot they're available. As people respond, a heatmap fills in: darker squares mean more participants are free at that time. Once the deadline passes (or you have enough responses), the host picks the time with the highest overlap and confirms it. Everyone is notified of the final time the next time they open the link.
When to use a meeting poll
Study groups and project teams
Coordinating 4–8 students or teammates across different class schedules and part-time jobs. A meeting poll surfaces overlap that would take hours to find via group chat.
Team offsites and quarterly planning
Distributed teams working across timezones. A poll lets everyone mark availability in their own zone while the host sees a single, normalized view.
Club, community, and volunteer meetings
Recurring groups where availability shifts week to week. A quick poll for each meeting beats trying to lock in a permanent slot that nobody actually keeps.
Family gatherings and reunions
Larger family groups with kids, work shifts, and travel plans. A meeting poll handles dozens of people without anyone needing to install an app.
How is when2meet.cc different from when2meet?
When2meet has been the classic meeting poll tool since 2008. It works, but its desktop-only design, English-only interface, and lack of features like auto-save, real-time heatmaps, and timezone columns make it frustrating for distributed teams scheduling from a phone. when2meet.cc is a free, modern when2meet alternative built mobile-first, available in 10 languages, with auto-save and built-in timezone handling — same familiar grid, fewer rough edges.
